The European Union (EU) is an economic and political partnership between 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.
The EU Delegation to the Armenia, Yerevan works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the Armenian government in areas that are part of the EU’s remit.
We offer
The post of Office Support Agent (Local Agent Group 4) in the Delegation’s Administration Section. The team consists of 7 people and there are occasional atypical working hours.
Under this post, the recruited person will be attributed functions depending on the needs of the Delegation, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of Administration Section (HoA), providing general administrative and secretarial support.
Following main tasks and duties are currently required:
• Carry out general administrative tasks (such as answering phone calls, providing general information to the callers, maintaining inventories, keeping the agenda, updating mailing lists, registering and dispatching incoming mail, handling missions, leave and absence records, photocopying, distributing and storing documents, etc.);
• Draft notes (including notes verbales), minutes and routine correspondence;
•Translate short texts from Armenian to English or from English to Armenian when required;
• Provide logistics support for the organisation of events, meetings and missions (reception of guests, liaising with colleagues and suppliers on preparation of the location, materials, refreshments, etc.); assist with hotel reservations;
• Be responsible for the insurance and licensing of the Delegation’s vehicles;
• Supervise the installation of security and safety equipment (smoke detectors, panic buttons, fire extinguishers) at expat staff accommodations;
• Oversee the stock of office supplies, verify deliveries and give certified correct for payments;
• Keep a record and a timeline of all contracts and tendering procedures and assess the need and type of new tendering procedures and to ensure that procurement procedures are launched and finalized on time;
• Act as an operational initiator (OIA) on administrative expenditure and financial circuit;
• Encode data and invoices/payments into the accounting database;
• Keep the Section's agenda and the Delegation planning and phone tree/directory up-to-date;
• When required, stand-in for the receptionist and secretaries of the various units;
• Carry out any other ad hoc duties assigned by the HoA or the HoD.
The base salary will depend on relevant and verified employment experience, typically starting from 6,022,224 AMD per year. There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, health insurances and a retirement savings plan.
The expected start date will be 1/12/2024.
Minimum requirements / eligibility criteria (necessary for the application to be considered)
- Upper secondary education or equivalent
- 1 year professional experience in a similar position
- English – ability to understand B2, ability to read B2, ability to speak B2, ability to write B2 (EU framework – level B2 = can communicate easily and spontaneously in a clear and detailed manner)
- Good drafting skills in English
- Knowledge of Armenian (read and write), mother tongue or equivalent
Excellent drafting skills in Armenian
Advanced computer skills in MS Word, Excel & Outlook
Assets / selection criteria (basis for awarding points to select the best applicant)
- Certificate in Secretariat, Office Administration or equivalent
- Work experience in a foreign mission, international organisation or embassy
- English – ability to understand C1, ability to read C1, ability to speak C1, ability to write C1 (EU framework – level C1 = fluent)
- Knowledge of French (written)

The process
After the deadline for applications, the eligible applications will be admitted to the Selection by the Committee set up for this purpose.
Depending on the number of applications received, successive phases of Selection may include shortlisting of candidates based on the assessment of the information provided in the cover letter and CV, practical testing and interviews. The 3 best candidates will be invited to the final interview.
Only candidates admitted to each successive selection phase will be contacted individually.
