Call for corporate sponsors for Europe Day to be celebrated in Buenos Aires on 9 May 2019

TERMS OF REFERENCE

 

The EU Delegation to Argentina will host their annual Europe Day reception on Thursday 9 May 2019, from 18h00 at CCK followed by a piano concert by the well-known Polish pianist Wojciech Waleczek.

Europe Day is an annual celebration of peace and unity in Europe. The date marks the anniversary of the historical 'Schuman declaration'. At a speech in Paris in 1950, Robert Schuman, the then French foreign minister, set out his idea for a new form of political cooperation in Europe, which would make war between Europe's nations unthinkable.

His vision was to create a European institution that would pool and manage coal and steel production. A treaty creating such a body was signed just under a year later. Schuman's proposal is considered to be the beginning of what is now the European Union.

Over 400 VIPs from Government and State institutions, Business, Civil Society as well as from Embassies and Diplomatic Missions attended the most recent edition in 2018 in Buenos Aires to celebrate Europe and its fruitful relations with Argentina.

Europe Day is an excellent opportunity for companies/organisations to promote their image, brands/activities through corporate sponsorship-collaboration with the EU Delegation to Argentina.

The EU Delegation is therefore publishing this call for sponsor companies and organisations.

Interested companies and organisations should express their interest for one or more of the four sponsoring packages below (point 1) by 15 April 2019 at 12:00 to: delegation-argentina-tenders@eeas.europa.eu

The EU Delegation will review the applications in line with the eligibility and selection criteria listed under point 2 below, and contact the selected companies/organisations by 17th April 2019 in order to sign a Corporate Sponsorship Agreement.

1. Sponsoring packages

Sponsors are invited to contribute “in kind” i.e. through the provisions of catering for 100 guests (“superior package”) or 50 guests (“executive package”), respectively of a value of 2.300 USD and 1.150 USD. The sponsorship will be contributed through direct contracting and payment to the event’s suppliers. An advance payment of 50% must be paid directly to the event supplier. Financial contributions to the EU Delegation are not allowed under the EU Financial Regulation.

A third category of contribution ("Wine Package") is reserved for sponsors supplying in kind wine and sparkling wine for the equivalent of 200 guests.

A fourth category of contribution ("Coffee Package") is reserved for sponsors supplying in kind coffee for the event.

One sponsor can apply to more than one package.

The sponsors will be provided with exposure and visibility in the following ways:

 

1.1. Superior package (catering for 100 guests of a value of 2.300 USD). This package includes:

· Prominent logo placement in the official invitation under the heading 'in association with'. To do so, the logo has to be sent in vector and JPG format to the EU Delegation as soon as the sponsor has signed the corporate sponsoring agreement.

· Logo featured prominently in the on-screen projections in the reception area

· Opportunity to showcase the sponsor’s products/services with own double individual stand in the foyer/entrance area of the reception

· Display of two standing banners at the entrance of the event and two standing banners in the reception area

· Ten entrance invitations for the sponsor’s guests.

· Recognition at the opening remarks of the EU Ambassador.

 

1.2. Executive package (catering for 50 guests of a value of 1.150 USD). This package includes:

· Logo placement in the official invitation under the heading 'with the support of'. To do so, the logo has to be sent in vector and JPG format to the EU Delegation as soon as the sponsor has signed the corporate sponsoring agreement.

· Logo featured in the on-screen projections in the reception area.

· Display of two standing banners at the event.

· Display of promotional material (flyers and brochure) at one own individual stand in the foyer/entrance area of the reception.

· Five entrance invitations for the sponsor’s guests.

· Recognition at the opening remarks of the EU Ambassador.

 

1.3. Wine package (supply of wine and sparkling wine for the whole event). This package includes:

· Logo placement in the official invitation under the heading 'with the support of'. To do so, the logo has to be sent in vector and JPG format to the EU Delegation as soon as the sponsor has signed the corporate sponsoring agreement.

· Logo featured in the on-screen projections in the reception area

· Display of two standing banners at the event

· Display of promotional material (flyers and brochure) at one own individual stand in the foyer/entrance area of the reception

· Five entrance invitations for the sponsor’s guests

· Recognition at the opening remarks of the EU Ambassador.

 

1.4. Coffee package (supply of coffee for the whole event). This package includes:

· Logo placement in the official invitation under the heading 'with the support of'. To do so, the logo has to be sent in vector and JPG format to the EU Delegation as soon as the sponsor has signed the corporate sponsoring agreement.

· Logo featured in the on-screen projections in the reception area

· Display of two standing banners at the event

· Display of promotional material (flyers and brochure) at one own individual stand in the foyer/entrance area of the reception

· Five entrance invitations for the sponsor’s guests

· Recognition at the opening remarks of the EU Ambassador.

 

2. Eligibility and selection criteria

· The sponsor can be a public or private organisation or company.

· The sponsor’s nature and activities may not entail a possible conflict with the mission and objectives of the European Union, including at policy level in areas such as foreign policy, social, health and environment.

· The sponsor must not be in a situation referred to in Articles 136 (1) and 141 (1) of the

Regulation (EU, Euratom) 2018/1046 of the European Parliament and of the Council of 18 July 2018 on the financial rules applicable to the general budget of the Union.

 

3. Sponsors are informed that:

· the EU’s European External Action Service (EEAS) registers all sponsorships above 1.000 EUR as well as registers and publishes all sponsorships above 5.000 EUR on the relevant EU Delegation’s web-sites and on the official website of the EEAS.

· the EEAS processes personal data in accordance with Regulation (EU) 2018/1725 of the European Parliament and of the Council of 23 October 2018 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data, and repealing Regulation (EC) No 45/2001 and Decision No 1247/2002/EC. In case personal data needs to be transmitted to any sponsors, as recipient, the organisation is required to ensure the same level of data protection guaranteed by the EU data protection framework, and in particular Regulation (EU) 2018/1725.

· Sponsors will not have a say on the substance of the event.
