We offer

We offer a post of Assistant. Under this post, the recruited person will be attributed functions depending on the needs of the Delegation. Upon recruitment, the successful candidate will occupy a specific job function as Assistant - this job function may be changed in accordance with the needs of the Delegation. Under this job function, the successful candidate will serve as support staff to the Trade & Economics Section under the supervision and responsibility of the relevant head of section.

This is a full time permanent position. It is a competitive position in an international environment with superannuation and medical insurance.

We are looking for a motivated person with at least 5 years' relevant experience in a similar position, office organization under the guidance of the Head of Trade & Economics Section and to provide general secretarial support to the Section as required.

Job objective

To provide administrative and logistical support to the Trade and Economics, Research & Innovation section.


  • Offering administrative and logistic support to the Head of Section and the members of the section.
  • Carry out various administrative tasks, such as diary-keeping; dealing with telephone calls;
  • preparing and finalizing notes for transmission; composing, formatting and typing
  • routine correspondence; replying to invitations;
  • Preparing and organizing missions (authorisations, reservations, programmes)
  • Organize logistics for receptions, meetings, conferences for which the Section is responsible.
  • Organize working programmes for visits from EU Institutions for which the Section is responsible including booking accommodation, organizing transport.
  • Providing secretarial support to high-level visitors as required.
  • Updating and maintaining the Outlook distribution lists for the section (Trade & Economic, Research & Innovation). Uploading documents into AGORA (the secure intranet site). User management of AGORA (adding and deleting users as required).
  • Deputy DMO ARES (Document management officer for electronic registration of mail and documents)


Other Duties

  • Back up for the secretary responsible for the Political, Press and Information Section.
  • Back up for the Head of Delegation secretariat.
  • Review of the Section's electronic filing system.

Minimum physical requirements 

Medical examination is required.



Professional experience

5 years' work experience in the relevant fields (administrative and secretarial support, office organization etc.)

Knowledge of languages 

  • Fluency in English is essential.
  • Proficiency in other European languages would be an advantage.


  • Office organization, diary keeping etc.
  • Be proficient in using relevant software applications (Microsoft office and ready to learn specific applications, such as ARES, AGORA, Publisher, MIPS etc.)
  • On-Line and “one on one” training is foreseen
  • Be in possession of VALID Australia visa and work permit for non-Australian nationals
