Europe Day 2026: Call for Corporate Sponsorship

CORPORATE SPONSORSHIP FOR EUROPE DAY 2026

The Delegation of the European Union to Uganda hosts its annual Europe Day reception on Thursday, 7th May 2026. 

The event will start at 18:00 (6.00 pm) and end at 20:00 (8.00 pm). 

Interested companies are invited to submit applications by 20th March 2026.

TERMS OF REFERENCE

Opportunity

Europe Day, also referred to as "Schuman Day", is an annual celebration of peace and unity in Europe. In Uganda, this celebration brings together around 500 European and Ugandan dignitaries and international partners.

This event is an excellent opportunity for companies and organisations to promote their image, brand, or activities through corporate sponsorship-collaboration with the Delegation of the European Union to Uganda.

Main criteria

1. The nature and activities of the Sponsor should be in line with the principles, values and commitments of the European Union.

2. The nature and activities of the Sponsor should not undermine EU policies in such areas as foreign policy, social, health and environment.

3. The Sponsor could be public or private organisations and companies.

4. The Sponsors cannot entail a possible conflict with the mission and objectives of the European Union.

5. The Sponsor must not be in a situation referred to in Articles 138 (1) and 143 (1) of the Regulation (EU, Euratom) 2024/2509 on the financial rules applicable to the general budget of the European Union

 

 What can sponsors expect from the European Union Delegation?

By signing the Corporate Sponsoring Agreement, the parties agree on the terms and conditions for the corporate sponsoring. The sponsors will be provided with exposure and visibility in the following ways:

  • Sponsors can expect their names/logo to be mentioned on the venue of the reception.

  • Sponsors can expect the Ambassador to acknowledge their contribution in his speech.

  • Sponsors will be allocated a number of  invitations to offer to their contacts, after prior notification of the contacts' names to the European Union Delegation for the purpose of the normal security and entry procedures.

     

  • Sponsors will not be allowed to actively market their products/services nor will they be authorized to have sales personnel for promotional activities during the event.

  • Sponsors will not have a say on the substance of the event.

Commitments of the sponsor:

Those who are selected as sponsors will be invited to contribute to the Europe Day event in form of services or supply of goods. 

Only contributions in-kind will be accepted. Financial contributions are prohibited by the Financial Rules of the European Institutions.

Typical contributions could include:

  • Provision of various products, such as promotion materials, food catering inclusive of cutlery and crockery, napkins, drinks inclusive of champagne, wine, beer and drinking glasses, , flowers, audio-visual equipment such as PA and sound system, LED screens, cocktail tables, a performance stage.

  • Provision of services, such as communication, visibility and entertainment (Support the EU’s communication effort on 50th Anniversary including Radio and print media), entertainment for the event for example selfie camera, drummers, artists. Electronic commercial screens for the EU Day, venue photography and videography, lighting including fairy and security lighting (solar lighting), ambulance provision, staff support, such as waiters, event coordinator on site.

This list is not exclusive. Sponsors may suggest other form of sponsorship in-kind. All items must be in agreement with the European Union Delegation. Furthermore, all material provided must include transportation costs, security costs, liability insurance, set-up and removal fees, and any manpower required to run or monitor it during the event itself.

Sponsors must declare the value in Euro (EUR) or Uganda Shillings of the in-kind provided goods and/or services. If sponsors do not wish to specify particular products or services, the EU Delegation will then redirect the sponsor to directly pay invoices of providers of the event for the maximum value of their contributions.

Sponsors should be aware that the EEAS registers all sponsorships above 1.000 EUR and registers and publishes all sponsorships above 5.000 EUR on the Delegation’s website and the official website of the EEAS.

Sponsors should be aware that the EEAS processes personal data in accordance with Regulation (EU) 2018/1725 of the European Parliament and of the Council of 23 October 2018 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data, and repealing Regulation (EC) No 45/2001 and Decision No 1247/2002/EC. In case personal data needs to be transmitted to any sponsors, as recipient, the organisation is required to ensure the same level of data protection guaranteed by the EU data protection framework, and in particular Regulation (EU) 2018/1725.


Eligibility & Selection Criteria

The European Union Delegation to Uganda will review the applications in line with the eligibility and selection criteria listed under Main Criteria above and will determine the organizations/companies that best align with the core objective of the event to be sponsored.

The European Union Delegation to Uganda reserves the right not to accept proposals that, because of the nature of the sponsorship or of the sponsor's activities, are deemed incompatible with the institutional role of the European Union. The European Union Delegation to Uganda also reserves the right to refuse any sponsorship not deemed consistent with the purpose of the Europe Day event.

How to Apply

If you're interested in making an in-kind contribution for the Europe Day 2026 Reception, please submit your proposal exclusively via electronic mail to Delegation-Uganda-tender@eeas.europa.eu no later than 20th March 2026 at 23:59 with subject ‘Europe Day 2026 Sponsorship Proposal’, including:

  • A brief description of your organization and its activities
  • An indication of the type of products of services to be sponsored
  • A clear indication of the type and estimated value in Euro (EUR) or Uganda Shillings (UGX) of your proposed sponsorship
  • Contact information for your organization, including a primary point of contact and email address

The EU Delegation will review the applications in line with the eligibility and selection criteria and contact the selected companies/organisations in order to sign a Corporate Sponsorship Agreement.
