The European Union Delegation to The Hashemite Kingdom of Jordan is looking for:

Secretary

The European Union (EU) is an economic and political partnership among 28 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organisations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.

 

The EU Delegation to The Hashemite Kingdom of Jordan offers a post of Secretary . Under this post, the recruited person will be attributed functions depending on the needs of the Delegation. Upon recruitment, the successful candidate will occupy a specific job function as Secretary – this job function may be changed in accordance with the needs of the Delegation. Under this job function the successful candidate will serve as support staff to the following tasks and responsibilities under the supervision and responsibility of the relevant head of section: 

SECRETARY – for the Political, Press and Information Section

  • Provide assistance by maintaining the diary, answering the telephone, filtering calls and taking messages, responding to general inquiries creating and updating the lists of contact and managing the e-mail exchange and calendar.
  • Ensure follow-up and respect of deadlines in the group activities.
  • Take, transcribe and prepare notes, minutes, routine correspondence, presentations and / or other texts.
  • Manage information and procedures on missions, holidays, leave and absence records and similar personnel administration formalities.
  • Provide administrative support to the section in terms of filing, mail, contracts dispatching, agenda, section meetings minutes, etc.
  • Management of the section internal network.
  • Organisation and setting up of the missions, meetings, conferences, seminars & workshops within the framework of activities of the section.
  • Establishing contacts with Jordanian authorities and foreign missions/organisations.
  • Responsible for maintaining and developing the archiving and filing system of the section.
  • Upon instruction by the Head of PPI Section or the Deputy Head of Section, to carry out where required any additional task that might result from the Delegation’s general tasks

Professional experience:

 

  • The candidate must have a minimum professional experience of 4 years, including 2 years in tasks directly related to the post job description

  • Experience in an international working environment would be an asset

     

  • University studies in areas relevant to the duties would be an advantage (e.g. business administration, etc)

  • Excellent knowledge of computer applications: Excel, Word, PowerPoint, scheduling and communication.

  • Excellent command of English and Arabic

    The working hours will be 37.5 hours per week from Sunday to Thursday. The place of employment is Amman and the post is group III.
