The European Union (EU) is an economic and political partnership among 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organisations. Abroad, the EU is represented through more than 140 diplomatic representations, also known as EU Delegations, which have a similar function to those of an embassy.
The Delegation of the European Union to Canada was established in 1976 and covers all policy areas of the bilateral relationship between the EU and Canada. It conducts public diplomacy activities, aimed at keeping Canadians up-to-date on current developments in the European Union.
We offer
We offer a post of a temporary Project & Administrative assistant for the duration of Canada's chairmanship of the G7.
The successful candidate will contribute, under the supervision of the Deputy Head of Delegation and in close coordination with the leading officials and task handlers in the EU Delegation, to the preparation, the processes and organization of international, high-ranking, political meetings in Canada linked the G7 Summit.

Working hours: 37,5 hours/week (Monday to Friday)

Group: Assistant - Group 3 (in the EU Local Agent system)

Maximum basic salary : 4.234 CAD/month (gross)
Job description
The job with the organizing team will require versatile and demanding duties such as:
- General office duties, involving drafting and composing letters and Note Verbales,
- Organizational duties such as hotel or flight bookings,
- General logistical support,
- Support in the organization of international meetings, such as arrangement with hotels and event-managers,
- Provision of advice and assistance to incoming missions from Headquarters in the areas of responsibility.
- Provision of input to the Delegation's information and communication activities around the G7.
- Establish and maintain appropriate working level contacts with the Canadian authorities as well as with the diplomatic missions of the EU Member States taking part in the G7 and partner countries.

Any other task requested by the Deputy Head of Delegation or the Head of Administration with regard to the Delegation’s mandate.

Minimum requirements
Canadian citizenship or a valid resident and work permit in Canada is mandatory to apply for this position.
Education
- Minimum Post-secondary education attested by a diploma.
Languages
- Ability to work and communicate at ease in both English and French.
Minimum working experience
-
A minimum of three years of relevant professional experience related to administrative, logistic support or events organizing.

Previous experience in a ministry of foreign affairs, international organisation or diplomatic mission will be a strong asset;

Specific experience or proven knowledge related to Protocol.
Assets
The retained candidate should be able to be operational from day 1 and to integrate fast in a new team, which will require:
- Strong team-playing capability, combined with the ability to work in a proactive and autonomous way, with a solid sense for priorities;
- Ability to multitask and to respond quickly to change and new demands
- Ability to assimilate new information quickly
- High level of proficiency of common office programs (eg. Word, Excel, Outlook, PowerPoint, Sharepoint)
- High sense of responsibility, rigor, reliability, discretion and confidentiality.
