The European Union (EU) is an economic and political partnership between 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy.
The EU Delegation to the Bosnia and Herzegovina works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the Bosnia and Herzegovina government in areas that are part of the EU’s remit.
We offer
The post of Secretary (Local Agent Group 3) in the Delegation’s Operations Section Coordination Unit. The team consists of 13 people and there are occasional atypical working hours.
Under this post, the recruited person will be attributed functions depending on the needs of the Delegation, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of Cooperation, providing support, expertise and assistance with the secretarial tasks.
Following main tasks and duties are currently required:
Office management and coordination
- Provide assistance to HoC by maintaining the diary, answering the telephone, filtering calls and taking messages, responding to general inquiries and managing the e-mail exchange and calendar.
- Take, transcribe and prepare notes, minutes, routine correspondence, presentations, contributions to inter-service consultations and other texts that are needed for the overall activity.
- Handle appointments, documentation and follow up management meetings.
- Coordinate and authorise requests for translations.
- Ensure that space, infrastructure, office supplies, inventoried goods and other logistics needs of the office are covered.
- Coordinate the work of the secretaries and clerical officers, in order to assure the smooth functioning of the team.
General Administrative and personnel management support
- Manage information and procedures on missions, holidays, leave and absence records and similar personnel administration formalities.
- Provide administrative assistance with job descriptions, appraisal reports and / or training plans.
- Follow up administrative arrangements relating to the recruitment and arrival of new officials.
- Manage HQ's missions
- Dispatching and keeping track of original official documents
- Registering of documents in ARES, on behalf of HoC
Administrative assistance to information and dissemination
- Facilitate internal communication within the Delegation as well as outside the service.
- Assist in welcoming and informing outside visitors in accordance with security regulations
- Ensure collection and preparation of materials for publication and web-sites
Meetings management
- Provide support for the organisation, budgetary requests and reporting of meetings, including reservation of rooms, checking / sending agenda, compilation of handouts, reception and security arrangements and follow-up of minutes.
- To be back-up for other secretaries in the Section or, if necessary, in the Delegation and liaise and coordinate tasks/information with all OPS, particularly with OPS 0
The base salary will depend on relevant and verified employment experience. There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, health insurances and a retirement savings plan.
The expected start date will be June 2025.
Minimum requirements / eligibility criteria (necessary for the application to be considered)
- Secondary education;
- 5 years of job related experience;
- Working knowledge of English (B2) and local languages;
- Knowledge of Microsoft Office tools;
- Right to residence and work in Bosnia and Herzegovina;
- Good standing as citizen/resident;
- Medical fitness to carry out the tasks assigned.

- Previous experience in international organisations or diplomatic representations;

- Possessing a high level of tact and diplomacy and ability to deal with confidential issues

- Good communication and diplomatic skills

The process
