We are

The European Union (EU) is an economic and political partnership between 27 European countries. It plays an important role in international affairs through diplomacy, trade, development aid and working with global organizations. Abroad, the EU is represented through more than 140 diplomatic representations, known also as EU Delegations, which have a similar function to those of an embassy. 

The EU Delegation to the Bangladesh, Dhaka works in close coordination with the Embassies and Consulates of the 27 EU Member States. We are a fully-fledged diplomatic mission and represent the European Union in dealings with the Bangladesh government in areas that are part of the EU’s remit.

We offer

The post of Secretary (Local Agent Group 3) in the Delegation’s HoD Section. “This is a fixed term appointment with option to renew for an initial period of 3 years following Section 4 of the Bangladesh Labour Act, 2006.”. The team consists of 4 people and there are occasional atypical working hours (General Working hours:  37.5 Hours/week). 
Under this post, the recruited person will be attributed functions depending on the needs of the Delegation, and on the changes of these needs. The successful candidate will serve under the supervision and responsibility of the Head of Delegation Section, providing support, expertise and assistance in secretarial duties and general administrative tasks, including document management services for the Head of Delegation. 

 

Following main tasks and duties are currently required: 

+ Administrative Coordination and Support:Administrative support to the delegation

  • Draft letters and notes.
  • Draft verbal notes to Ministry of Foreign Affairs in Bangladesh and ensure correct protocol procedures are followed.
  • Follow-up of incoming mail, correspondence, outgoing mail.
  • Maintain contact Government of Bangladesh ministries and other international and local organisations as well as Embassies.
  • Conduct certain duties, where necessary, of Executive Assistant to Head of Delegation during her absence.
  • Assist other sections, particularly Admin and Political Sections where necessary.

+ Logistic Support: Organisation of meetings, travel and social calendar

  • Keep the agenda for the Head of Delegation (incl. organisation and preparation of meetings, arranging appointments, collecting information, preparing files and briefings).
  • Organise / support external missions from Headquarters, other Delegations or other European institutions.
  • Organise the missions of the Head of Delegation (travel arrangements, appointments and expenses).
  • Organise dinners, receptions and other events, and keep account of representation costs.
  • Give instructions to drivers on meetings outside the Delegation.

+ Administrative Coordination and Suoporv.Docunient and fiie management coordination

  • Co-ordinate the storage, reproduction, translation, circulation and retrieval of documents, making sure that they are filed and seemed in accordance with the regulations in force.
  • Help to prepare briefing files for committees, conferences and other meetings.

+ Administrative Coordination and Support: Getterai administrative support

  • Answer, filter and transfer telephone calls and give general information to callers.
  • Provide administrative support to Head of Delegation to ensure smooth running of office and Residence.

 

The base salary will depend on relevant and verified employment experience, typically starting from BDT. 102,353 to BDT. 238,248.  There is a competitive benefits package, subject to certain conditions, including personal leave days and public holidays, health insurances and a retirement savings plan. 

The expected start date will be 01/07/2025. 

Minimum requirements / eligibility criteria:

  • Minimum of Higher Secondary School Certificate (12th Class) equivalent to "A" level;
  • Minimum of 5 years of experience in relevant field;
  • Fluent in both English and Bangla, both orally and in writing;
  • Enjoys civil rights and permits for employment under local law;
  • Proficient in Word, Excel, PowerPoint, Outlook, Zoom, Skype etc.;
  • Medically fit to perform the required duties;

Assets / selection criteria:

  • Previous working experience with International Organisations and/or Embassies, Multilateral donors etc.
  • Knowledge of the European Union and its policies in the above mentioned areas would be an asset.
  • Self-starter, motivated, ability to work alone and/or in a team, respecting deadlines, ability to deal with stressful situations, etc.

The process

After the deadline for applications, the eligible applications will be admitted to the selection by the Committee set up for this purpose. 

Depending on the number of applications received, successive phases of selection may include shortlisting of candidates based assessment of the information provided in the cover letter, CV and motivation letter; practical testing and interviews. Best candidates will be invited to the final interview test or presentation.

Only candidates admitted to each successive selection phase will be contacted individually. The Delegation will use the same means of publication as for this job advertisement to inform the remaining candidates once the recruitment procedure has been completed and that a candidate has (or has not) been recruited.
